Wedding RSVP Invitation for an Indian Shaadi: What to Ask, What to Write, How to Count
Whether to ask at all, what to ask for each function, the words for a card or a WhatsApp message in three languages, and how to count the replies and chase the ones that never come.
By the Sadar Nimantran studio22 min read
In short
A wedding RSVP asks guests to say whether they are coming; the letters stand for the French répondez s'il vous plaît, "please reply". For an Indian wedding, ask which functions, how many people including children, and any food needs; ask guests travelling in about arrival and rooms. Set the reply-by date about a week before your caterer and hotel need final numbers, and phone elders instead of messaging them.

Someone in every wedding family ends up holding the list, because the caterer, the hotel and the baraat buses all need numbers. Here are the words to send and a way to keep count.
What does RSVP mean? (RSVP meaning in Hindi)
RSVP stands for the French répondez s'il vous plaît, "please reply" (the Oxford Learner's Dictionaries entry for RSVP); in Hindi, कृपया उत्तर दें. On a wedding card it asks you to tell the family, by the date given, whether you are coming, to which functions and how many of you.
A Hindi card can say it in words near the phone numbers: कृपया अपने आगमन की सूचना दें (please let us know you are coming). How the replies travel back is in our guide to sending wedding invitations on WhatsApp.
Should an Indian wedding ask for RSVP at all?
Most Indian weddings with more than one function, or with guests travelling in, are easier to run with replies, but the asking should be gentle. Many families have always kept an open house (the card says सपरिवार, and whoever comes is fed), and to some elders a request to confirm feels like counting plates. But functions now run over two or three days at different places, each with its own number, and rooms are booked ahead for relatives from other cities.
So ask for what the arrangements need, and say why, as our Kartik and Naina sample does beside its reply-by date: "So the halwai knows how many jalebis to fry" (ताकि हलवाई को पता रहे कि कितनी जलेबियाँ बनानी हैं). A family that would rather keep the house open can ask only the guests travelling in about arrival and rooms.
What should a wedding RSVP ask, and what should it leave out?
A wedding RSVP should ask only what changes an arrangement: which functions, how many people, any food needs and, for guests who travel, when they arrive and whether they need a room. Everything else can wait for a phone call.
| What to ask | Whom to ask | What it is for |
|---|---|---|
| Which functions they will come to | Everyone invited to more than one function | A separate count for each function |
| How many people, and how many of them children | Everyone | The caterer's count and the seating; ask your caterer how they count children |
| Arrival and departure: date, time, train or flight | Guests travelling in | Station and airport pickups, and the first meal they need |
| A room, how many, which nights | Guests travelling in | The room list for the hotel, guest house or dharamshala |
| Food needs: Jain food, no onion or garlic, a fast, diabetes, an allergy | Everyone, in one line | A word to the halwai or a separate counter; ask exactly what they avoid, since practice differs between families |
| Coming in the baraat? | The groom's relatives and friends | The baraat count the bride's family asks for, and the buses or cars |
| The phone number of whoever is travelling | Guests travelling in, when that is not the person you messaged | So the driver at the station can reach them |
What not to ask
- Menu choices. A buffet needs no dish chosen per guest; ask only what the kitchen must cook differently.
- Gifts or shagun. Not even whether to bring one.
- Documents and addresses. No ID copies, home addresses or dates of birth on a form or in a group; if a hotel needs something, let the hotel ask.
- Why they cannot come. A no is a complete answer.
Phone, WhatsApp, poll, form or link: which way should you collect replies?
Most families use two ways at once: a phone call for elders and close family, and one written way for everyone else, with every answer copied into the same list. Keep to that one written way, so you are not hunting through chats on the night the caterer wants a number; a poll or an event suits a quick question in one group, never in place of personal messages.
| Way | What you get | Good for | Watch out for |
|---|---|---|---|
| Phone call | A clear answer, in a voice they trust, but nothing written | Elders, close family, anyone who would find a form strange | Write the answer down during the call, not after |
| WhatsApp text reply | Whatever the guest types, often "ji zaroor" with no number | Anyone on WhatsApp | Ask a direct question with the functions listed, so the reply carries numbers |
| WhatsApp poll | Votes from group members, one option or several each | A quick question in one group, such as who in the cousins' group is coming early for the haldi | Each member counts once, however many come with them; everyone sees who chose what unless voter names are hidden |
| WhatsApp event | Going, Maybe or Not going for one date | One gathering in one group, such as the baraat bus | A guest can bring at most one more person; only people in that chat can answer |
| Google Form | Every answer in a Google Sheet, in columns | Many guests travelling in, with rooms and arrival times to collect | It must be published to anyone with the link; limiting it to one reply per person makes guests sign in to Google |
| Reply form on a Sadar Nimantran invitation | A written reply in your WhatsApp: name, yes or no, how many, which functions | Guests who are opening the invitation anyway | No dashboard, so you count in WhatsApp; one number covers every function ticked |
The WhatsApp and Google rows rest on their help pages (checked on 4 October 2026). A poll allows several answers unless you turn that off, and its creator can hide voter names or set an end time (WhatsApp's help page on polls). An event takes Going, Maybe or Not going, its creator can let each guest bring one additional guest, and it cannot be forwarded or reach anyone outside that chat (WhatsApp's page on creating events).
A Google Form must be published before anyone with the link can open it, and Limit to 1 response makes every guest sign in to a Google Account, an extra step for elders (Google's page on publishing a form). Answers can go to a linked Google Sheet, and a close date shuts the form. Leave View results summary (Settings, Presentation) off: Google says anyone who can respond can see it.
How replies work on a Sadar Nimantran invitation
On our invitations the Reply button (जवाब दें) in the bottom bar jumps to the reply form. The guest taps yes or no, picks how many are coming, unticks any functions they will miss (when there are two or more) and can add a note. WhatsApp then opens with the reply written out to the family's own number, and the guest presses send; the exact message is in our guide to how an invitation website collects replies.
The reply does not pass through us, and there is no dashboard or spreadsheet: you count replies in WhatsApp, in a list like the one below. The form asks one number for all the functions ticked and nothing about rooms or arrival; guests can use the note, or you ask separately.
The card can show your reply-by date. When the family makes personal links, they can untick functions, so a reception-only guest sees, and replies to, only the reception. Such a reply carries no function line, just yes or no and the number, so mark those guests in your list. The link maker keeps your guest list and ticks in your own browser; nothing is sent to us.

How do you ask about each function? (Mehndi, Sangeet, Shaadi, Reception)
Ask about each function separately, because a household's numbers often change from one function to the next. One family's answer for a four-function wedding might look like this:
| Function | Coming? | How many | Note |
|---|---|---|---|
| Mehndi, 10 December, afternoon | Yes | 2 | Mummy and Riya only |
| Sangeet, 10 December, evening | Yes | 4 | Papa joins after work |
| Shaadi: baraat, jaimala, phere, 11 December | Yes | 5 | Dadi comes for the jaimala and phere |
| Reception, 12 December | No | 0 | Train home that afternoon |
A reply of only "yes, five of us" would have overcounted three of the four. On our reply form, the Vermas would untick the reception, set the count to 5 and write "Mehndi 2, Sangeet 4" in the note. Guests who reply by text can fill in one of these and send it back (change the functions and dates to yours):
Har function ke aage bas likh dijiye kitne log aayenge (na aa paayein to 0):
Mehndi ([date]): ___
Sangeet ([date]): ___

RSVP wording for a wedding card and a WhatsApp message (Hindi, Hinglish, English)
Good RSVP wording gives three things: a date, what you want to know, and how to reply. The invitation wording itself is in our shaadi card matter and WhatsApp invitation message guides, and where the reply line sits on the card is in our wedding invitation checklist.
On a printed card
Print it at the foot of the card beside the contact numbers, or on the insert that lists the functions.
RSVP
Kindly let us know by [date] which functions you will attend and how many of you will come.
[Name]: [mobile number] (WhatsApp)
[Name]: [mobile number]RSVP on its own, with no date or number, gives the guest nothing to act on.
Whose names go under RSVP on the card?
Name two people who will answer their phones all through the wedding week, such as a mama ji or a cousin (the parents will be busiest), and mark which number is on WhatsApp. Guests also call these numbers for directions, travel and the programme, as Urban Company's guide to wedding card wording notes (checked on 4 October 2026), so print the reply-by date beside them. Who signs under विनीत and दर्शनाभिलाषी is explained in the meanings of the words on a shaadi card.

2. Kitne log honge, aur unmein bachche kitne
Isi number par likh dijiye, ya phone kar lijiye. To help us plan, please tell us by [date]:
1. Which functions you will come to
2. How many of you, and how many children
Reply on this number, or give us a call.If your invitation link has a reply button, end with: Open the invitation, tap Reply at the bottom and fill in the short form; WhatsApp opens with your reply written out, ready to send.
For guests travelling in: arrival, stay and food
Send guests from other cities a separate question about travel and rooms, early, while trains still have seats; our guide on when to send wedding invitations explains the booking window. For a destination wedding, the save-the-date message can already ask for a rough number so rooms can be held.
खाने में कोई परहेज़ (जैसे जैन भोजन, बिना प्याज़-लहसुन):If the family is not arranging rooms, drop और ठहरने from the first line and change the room line to: ठहरने की जगह ढूँढ़ने में मदद चाहिए?
Aap bahar se aa rahe hain, to yeh bhi bata dijiye, taaki station ya airport se laane aur rukne ka intezaam kar sakein:
Pahunchne ki date aur time:
Train ya flight number:
Wapsi ki date:
Rukne ke liye kamra chahiye? Kitne:
Khane mein koi parhez (jaise Jain khana, bina pyaaz-lehsun):As you are travelling in, please also send us these, so we can arrange pickups and rooms:
Arriving (date and time):
Train or flight number:
Leaving on:
Room needed? How many:
Any food needs (Jain food, no onion or garlic, anything else):If the family is not arranging rooms, drop "and rooms" from the first line and change the room line to: Would you like help finding a place to stay?
How do you choose the reply-by date?
Set the reply-by date about a week before the earliest date on which your caterer or your hotel needs final numbers. That week is for the calls you will have to make to guests who have not answered.
- Ask the caterer or halwai when they need the final count for each function, and how many extra plates they keep.
- Ask the hotel, guest house or dharamshala when they need the final room list, and what happens to rooms given up after that.
- Take the earlier of the two dates and count back a week.
- Check that it falls well after the invitations reach the guests who travel.
- Use the same date on the card, the link and every WhatsApp message.
On two of our live samples the date sits about two weeks before the first function: Kartik and Naina ask for replies by 25 November for a haldi on 10 December, Nikhil and Mallika by 9 April for a haldi on 23 April. Your caterer's date decides yours. Set a Google Form to close a few days later, so a late cousin does not find it shut.
How do you keep count of wedding replies? (a simple tally sheet)
Keep one list with a row for each household, and fill it in the moment an answer arrives, by phone, WhatsApp or a form. A notebook or a phone sheet works; a column per function, then rooms and notes, is enough.
| Household | Mehndi | Sangeet | Shaadi | Reception | Room | Notes |
|---|---|---|---|---|---|---|
| Sharma Parivar, Jaipur | 4 | 0 | 4 | 0 | No | 1 child; driving in on the day |
| Mausi ji, Lucknow | 3 | 3 | 3 | 3 | 1 room, 9 to 13 Dec | Train 9 Dec, early morning; Jain food for Mausa ji |
| Verma family, Delhi | 2 | 4 | 5 | 0 | 1 room, 10 to 12 Dec | Dadi for the jaimala and phere; train home 12 Dec afternoon |
| Rahul, office | – | – | – | 2 | No | With his wife |
| Bua ji, Pune | ? | ? | ? | ? | ? | Reminded 21 Nov; call 26 Nov, after the reply-by date |
| Total so far | 9 | 7 | 12 | 5 | 2 rooms | 1 household pending |
- One person owns the list. Everyone passes replies to them, so a yes given to Papa at the shop still gets written down.
- Thank only after writing. Then a chat that ends with your thank-you is a chat already counted.
- Count by function, not by guest. Add up each column on its own before you call the caterer.
From the sheet come three lists: head counts by function for the caterer, rooms by night for the hotel, and pickups by arrival time for whoever meets the trains. Food needs go to the caterer with names, so the Jain plate reaches the right person.
How do you remind guests who haven't replied? (RSVP reminder message)
Send one gentle message a few days before the reply-by date to everyone who has not answered, then call whoever is still silent once the date has passed, finishing the calls by about a week before the first function; Tau ji gets a call from Papa, not a second message. Ask which functions and how many, so the answer comes back with numbers, and make "not sure yet" easy to say.
[Naam] ji, namaste.
[Var/vadhu ka naam] ki shaadi ki taiyaariyan zoron par hain. Halwai ko [date] tak ginti deni hai, isliye pooch rahe hain: aap kaun se functions mein aa paayenge, aur kitne log honge?
Abhi pakka na ho to woh bhi bata dijiye, koi baat nahi.Hi [Name], hope all is well at home.
With [Bride's or groom's name]'s wedding a few weeks away, we give the caterer our final numbers on [date]. Which functions will you be able to come to, and how many of you will there be?
If it is not settled yet, just say so, and we will ask again nearer the day.On the phone, ask as you would when arranging a visit: "मौसी जी, आप लोग शादी में आ रहे हैं न? किस दिन पहुँचेंगे, स्टेशन पर किसी को भेज दें?" It is the same question, and it sounds like a welcome. Split the calls so each guest hears from the person they know best.
Leave it at two tries, then give the caterer your confirmed count and say how many households are unconfirmed. Reminders about the wedding itself go to every guest 7 to 10 days before the first function, as our wedding invitation timeline sets out; the words are in our reminders about the day itself, a week before and the day before.
What about "maybe", children and plus-ones?
Count a maybe as pending, with a date to ask again; ask how many children are coming rather than whether they may come; and say in the invitation itself who is invited, so nobody has to guess about a plus-one.
When the answer is "maybe" (dekhte hain)
Ask what it depends on (leave, a train ticket, an elder's health) and note when they will know. Keep maybes out of the caterer's count but say how many are pending, and before the hotel's deadline ask each one whether to keep their room. In many families "dekhte hain" is a polite no; a warm call settles it.
Children and plus-ones
On a सपरिवार invitation children come with their parents, and the caterer needs only the number. For friends and colleagues, write who is invited in the message itself, such as "you and Bhabhi ji" or "you and your family".
If a function has to stay small, such as a haldi at home, name who is invited rather than printing "no children" or "no plus-ones", and explain on a call to anyone who might feel left out. A line of refusal on an invitation is read by every guest; a word on the phone is heard by one.
How should you thank guests who reply?
Reply to every answer, yes or no, the same day, with a line that repeats what you wrote down, so the guest knows it reached you and a wrong number or function is caught early.
To an elder who cannot come, add: दूर से ही आशीर्वाद दीजिएगा।
Bahut-bahut dhanyavaad, [naam] ji. [Functions] mein aap [number] log aa rahe hain, note kar liya hai. Aap sabki raah dekhenge.
(Na aa paane par)
Koi baat nahi, [naam] ji, batane ke liye dhanyavaad. Aapki kami khalegi. Photos zaroor bhejenge. To an elder who cannot come, add: Door se hi aashirwad dijiyega.
Thank you, [Name]! We have [number] of you down for [functions]. See you there.

Questions people ask
How should a guest reply to a wedding RSVP?
Reply by the date on the card, to the number it gives, in one message: your name, yes or no, how many of you are coming including children, and which functions. If you are not sure yet, say so and say when you will know, so the family can plan the caterer's count and the rooms around your answer.
Is it rude to ask for RSVP at an Indian wedding?
Not if you ask warmly and give the reason: the caterer, the rooms and the cars all need numbers. Phone elders rather than sending them a form or a list of questions. If your family keeps an open house for the shaadi, ask only the guests travelling in about their arrival and rooms, and let everyone else come as they always have.
How many days before the wedding should the RSVP date be?
There is no fixed number. Ask your caterer and your hotel or guest house when they need final counts, take the earlier date, and set your reply-by date about a week before it, leaving time to call guests who have not answered. Two of our samples ask for replies about two weeks before the first function.
How do I ask for RSVP on WhatsApp?
Add a few lines under the invitation link: the reply-by date, the functions, and a request for the number of people including children. In a separate message, ask guests who are travelling in about arrival dates and rooms. Send each message personally, call elders instead of messaging them, and thank every guest on the day they reply.
Can I use a WhatsApp poll or event for wedding RSVP?
For a quick question inside one group, yes. A poll counts each member once, not the family behind them, and an event takes Going, Maybe or Not going, with at most one extra guest. Neither reaches guests outside that group, so use them alongside personal messages, never instead of them.
Can a guest change their reply after sending it?
Yes, and the family would rather hear it early. Send a fresh message or call the number on the card as soon as plans change. On an invitation link with a reply form, open the same link and send the reply again; it arrives as a new WhatsApp message, so the family updates your line and counts the latest one.
Should we write RSVP on a Hindi wedding card?
You can, but you can also put it in words: a line such as कृपया 25 नवंबर तक अपने आगमन की सूचना दें beside the contact numbers reads warmer than four English letters. Give a date, one or two phone numbers, and say that a WhatsApp reply is welcome.
